The Accounting Assistant will be maintaining the accuracy and integrity of financial records, ensuring timely payment processing, and collaborating effectively across departments. The ideal candidate will be detail-oriented, highly organized, and proactive in managing daily accounting functions, supporting financial reporting, and identifying opportunities for process improvements.
Accounting Assistant Responsibilities:
- Review and approve invoices and process purchase orders with accurate account coding.
- Manage vendor and service provider agreements, negotiate favorable terms, and transition vendors to ACH.
- Process and track outgoing payments and maintain daily cash register and company checking account reconciliations.
- Process incoming payments, including credit cards, and monitor accounts receivable.
- Improve collections, contact clients regarding past-due accounts, and resolve payment discrepancies.
- Reconcile accounts receivable ledger and maintain accurate records of account statuses.
- Process hourly payroll and maintain employee time-off records.
- Perform cycle counts, investigate inventory discrepancies, prepare slop reports, and assist with year-end physical inventory.
- Support month-end reporting, close relevant modules (Inventory, Purchase Orders, Sales Orders), and post general ledger entries.
- Manage 1099 reporting, assist with budget preparation and analysis, and contribute to year-end close and audits.
- Provide general office support as needed and collaborate across departments to streamline accounting processes.
- Identify and implement cost-saving measures in accounting and administrative operations.
Accounting Assistant Requirements:
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field.
- 3–5 years of experience in accounts payable, accounts receivable, or general accounting.
- Experience with payroll processing and time-off tracking systems.
- Strong attention to detail with excellent organizational and analytical skills.
- Effective communication and interpersonal skills; ability to collaborate across departments.
