The Accounting Associate is responsible for accounting-related assignments to ensure prompt, responsive service to the Naples office, the Firm and its clients. This is a non-exempt position, and the individual is eligible for overtime pay

Hunter Recruiting is looking for a skilled individual to fill an Accounting Associate position in the Naples, Florida office. The individual in this position is under the direct supervision of the Billing Manager. The Accounting Associate is responsible for accounting-related assignments to ensure prompt, responsive service to the Naples office, the Firm and its clients. This is a non-exempt position, and the individual is eligible for overtime pay
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Processes billing, including electronic billing, for the Naples office and other attorneys as assigned on a daily basis.
- Update proforma trackers daily for Naples billing and other attorneys as assigned.
- Submit electronic billing with outside vendors and eBilling Hub.
- Assist Accounting Management with billing payment issues and questions.
- Process and assist with printing and sending Account Statements and Collections.
- Monitor and correct electronic billing rejections and issues weekly.
- Meet with assigned attorneys to determine client billing needs.
- Review WIP adjustments and compliance to Firm policy.
- Prepare copies of invoices and ledger history reports for Naples clients and others as requested.
- Print copies of invoices for attorneys/secretaries/clients as requested.
- Prepare spreadsheets/summary sheets for attorneys/clients.
- Enter daily cash and trust receipts for the Naples office; backup to the Ft. Myers office.
- Handle processing of client overpayments (trust/letters/mail checks) for the Naples office.
- Utilize remote check scanner for bank deposits for the Naples office.
- Handle recording of soft cost entries for postage.
- Handle recording of filings with SimpliFile, Collier County escrow deposit accounts for filing fees.
- Process Real Estate Trust and AP transactions for the Naples office and other transactions as assigned; backup to the Ft. Myers office.
- Prepare forms for wire transactions and verify banking instructions.
- Check FineMark bank accounts for ACH/Wire activity and handle posting of same.
- Process rush check requests for the Naples office.
- Handle petty cash entry for Naples office.
- Assist with Accounting questions and issues specific to the Naples office and Firmwide.
- Assist eBilling Specialist with eBilling issues and rejections.
- Assists with client billing questions and issues.
- Assist with accounting projects and additional requests from Accounting Management.
- Backup to Billing Associates in all offices.
- Backup to A/R Associate.
- Backup to Handling Sunbiz Escrow Account Filings.
KNOWLEDGE, EDUCATION, SKILLS, WORK EXPERIENCE:
- High School diploma or equivalent, required.
- Ability to read, write and perform arithmetic computations at a level normally acquired through the completion of high school or equivalent.
- Approximately two to three years of experience in a service-related field. Legal experience preferred.
- Excellent proofreading, grammar and spelling skills a must.
- Proficiency in the Firm's software and hardware including 3E (Elite), Word, 10-Key by touch, Outlook, Excel, and Photocopiers. Ability to type brief memos, letters and forms.
- Ability to prioritize numerous tasks and complete them under time constraints; strong organizational skills.
- Demonstrate responsiveness, tact, diplomacy, good judgment and confidentiality in communications with all levels of personnel, clients and outside vendors.
- Strong commitment to the Accounting Department as a customer service function within the Firm, and ability to operate effectively and cooperatively within the Accounting Department to enable the department to function cohesively and to provide excellent customer service within the Firm.
- Interpersonal skills necessary in order to communicate and follow instruction effectively from a diverse group of attorneys and staff and provide information with ordinary courtesy and tact.
- Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties.
- Work may require more than s per week to perform the essential duties of the position; may require irregular hours.
