The Administrative Assistant serves as a primary point of contact for patients and families, managing a high volume of phone calls, EPIC communications, MyChart messages, prescription refill requests, referrals, and other patient inquiries. The ideal candidate is highly organized, detail-oriented, professional, and able to manage multiple priorities while providing excellent patient service.
Administrative Assistant Responsibilities
- Manage incoming calls, messages, correspondence, and patient inquiries.
- Serve as a primary contact for patients, families, referrals, and providers.
- Manage medical records and upload documentation into EPIC.
- Document and communicate patient needs to appropriate clinical staff.
- Coordinate orders, labs, referrals, and follow-up processes.
- Manage physician schedules and resolve scheduling issues.
- Collect and coordinate insurance information with financial staff.
- Assist patients with virtual appointment check-in and other scheduling needs.
- Manage provider communications, meetings, travel, reimbursements, and licensing.
- Support department operations, including events, mail, meeting minutes, and basic IT needs.
Administrative Assistant Requirements
- High School Diploma or GED required.
- 3+ years of administrative assistant experience.
- Associate’s or Bachelor’s Degree may substitute for 2 years of experience.
- Previous healthcare or clinical experience preferred.
- Experience with Electronic Medical Records (EMR).
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Strong communication, organization, customer service, and attention-to-detail skills.
- Accurate typing and data entry skills.
- Must complete EPIC training within the first year and may be required to complete a skills assessment.
- Ability to work at a computer for extended periods, travel throughout the hospital system, communicate effectively, and lift up to 20 lbs. where required.
