As an Administrative Services Coordinator, you will support daily site operations by assisting with badge access, purchasing activities, and on-site events. The position works closely with internal teams and external vendors to help keep the site running smoothly, supports basic purchasing and system tasks, and assists with event setup and coordination. This is a hands-on role ideal for someone organized, dependable, and eager to learn new systems and processes.
Administrative Services Coordinator Responsibilities
- Assist with managing site badge access by extending access for internal visitors.
- Prepare badges for new employees and contractors under supervision.
- Help contact site contractors and building owners to schedule maintenance services such as plumbing and HVAC.
- Provide general administrative and operational support as needed.
- Assist with internal purchasing activities, including small purchases using a Purchasing Card.
- Learn and support the use of SAP (or similar systems) to help place Purchase Requisitions.
- Assist with receipt and service entries to ensure accurate and timely processing.
- Support customer and internal events by preparing welcome signage and ensuring Wi-Fi readiness.
- Assist with stocking beverages and coordinating meal orders for meetings and events.
- Help ensure events are organized, welcoming, and run smoothly.
Required Qualifications
- High School Diploma/ GED.
- Basic computer skills with the ability and willingness to learn SAP or similar systems.
- Strong organizational, communication, and time-management skills.
- Ability to work well in a team environment and follow instructions.
- Positive attitude with an eagerness to learn and grow.
- Reliable, detail-oriented, and proactive approach to work.
