The Behavioral Health Intake Coordinator will join a busy outpatient behavioral health practice. This role serves as the first point of contact for patients and families, coordinating the intake process from initial phone screening through scheduling and insurance verification. The ideal candidate has recent experience in a mental health or behavioral health setting, thrives in a fast-paced environment, and provides compassionate, professional support while managing a high volume of patient interactions.
Key Responsibilities
- Conduct high-volume telephone intakes for new patients, collecting clinical, demographic, insurance, and financial information.
- Complete patient registration and distribute required intake forms and appointment materials.
- Schedule patients into the appropriate specialty clinic based on clinical needs, including Neuropsychology, Concussion, ADHD, Anxiety, and other behavioral health services.
- Verify insurance eligibility, review patient benefits, copays, and financial responsibilities.
- Obtain prior authorizations and coordinate with providers, patients, and insurance companies to secure required documentation.
- Triage referrals according to department guidelines and coordinate appointments based on specialty or clinical need.
- Manage patient waitlists and refer patients to appropriate specialty clinics or community resources when applicable.
- Maintain accurate documentation within the Electronic Medical Record (EMR), including registration details, authorization information, and patient account notes.
- Serve as a resource for registration, scheduling, insurance verification, and authorization processes.
- Deliver exceptional customer service while supporting pediatric patients and their families with empathy, professionalism, and discretion.
Required Qualifications
- High school diploma or equivalent.
- 4+ years of recent experience in healthcare administration, patient access, medical office, or patient registration.
- Recent patient intake experience in a mental health, behavioral health, psychology, psychiatry, or neuropsychology setting.
- Experience with high-volume phone intake, patient registration, appointment scheduling, insurance verification, and prior authorizations.
- Experience coordinating care across multiple specialties and triaging patients is preferred.
- Proficiency with EMR systems, insurance verification platforms, and Microsoft Office (Outlook, Word, Excel).
- Excellent communication, customer service, organizational, and multitasking skills with strong attention to detail.
- Ability to maintain confidentiality and provide compassionate, professional support in a fast-paced outpatient environment.
