The Clinic Operations Representative will support daily outpatient clinic operations and provide exceptional service to patients, families, and clinical staff. This position will handle patient registration, appointment scheduling, insurance verification, check-in/check-out, payment collection, and general administrative support in a fast-paced healthcare environment.
Clinic Operations Representative Responsibilities
- Register and check in patients while accurately maintaining demographic and insurance information.
- Schedule, reschedule, and coordinate patient appointments and follow-ups.
- Verify insurance eligibility, referrals, and pre-authorizations.
- Collect co-payments, deposits, and outstanding balances and provide receipts.
- Review patient accounts and schedules to support accurate billing and authorization requirements.
- Answer high-volume phone calls, manage messages, emails, and patient requests.
- Obtain required documentation, including insurance cards, identification, and consents.
- Maintain accurate electronic and paper records while protecting patient confidentiality and HIPAA compliance.
- Collaborate with clinical, financial, and administrative teams to support efficient clinic operations.
- Provide professional, courteous service to patients, parents/guardians, providers, and staff.
- Float to other clinics or Regional Outpatient Centers as needed.
Clinic Operations Representative Requirements
- High School Diploma or GED required.
- 1+ year of experience in patient registration, appointment scheduling, insurance verification, billing, or front-end healthcare support.
- Previous outpatient clinic, physician office, or healthcare experience strongly preferred.
- Experience with EMR and/or scheduling systems preferred.
- Microsoft Office experience preferred.
- Minimum typing speed of 35 WPM.
- Strong customer service, communication, organization, and attention to detail.
- Ability to work effectively in a fast-paced, patient-facing environment.
- Must complete required Ambulatory Services training and competency assessments.
