The Intake Specialist will play a crucial part in the client onboarding process, supporting the Intake Attorney in assessing potential cases while also assisting the Marketing Director with campaign tracking and outreach initiatives approximately one-quarter of the week. The Intake Specialist will play a crucial part in the client onboarding process, supporting the Intake Attorney in assessing potential cases while also assisting the Marketing Director with campaign tracking and outreach initiatives approximately one-quarter of the week. The position also includes general reception and administrative office support.
Intake Specialist Responsibilities:
- Serve as the first point of contact for prospective clients via phone, web, and in-person inquiries
- Collect and input detailed information related to potential personal injury claims
- Conduct pre-screening interviews to determine case viability under attorney guidance
- Schedule consultations and follow-up communications with leads
- Maintain accurate records in the case management system
- Ensure a smooth transition from intake to legal teams
- Assist the Marketing Director with outreach tracking, campaign data entry, and lead source analysis
- Monitor and report on intake trends related to marketing campaigns
- Support execution of firm events or client engagement initiatives as needed
- Answer incoming calls and greet visitors professionally
- Handle mail, supplies, and general administrative tasks
- Assist with calendaring and file organization
- Provide backup support to other office staff as needed
Intake Specialist Requirements:
- HS Diploma or GED
- Prior experience in a legal, call center, medical office, or customer service setting preferred
- Excellent verbal and written communication skills
- Strong organizational abilities and attention to detail
- Comfortable working in a fast-paced environment and multitasking
- Proficient with Microsoft Office and/or legal case management systems
