Legal Office Manager

A well-established, multi-office law firm is seeking an experienced Legal Office Manager to oversee day-to-day administrative and operational functions at their Chicago location. This position plays a key role in maintaining a productive, well-organized, and professional environment, while ensuring seamless support for attorneys, staff, and visiting clients. The ideal candidate will bring strong leadership, organization, and communication skills along with prior experience managing operations in a professional office setting.

Legal Office Manager Responsibilities:

  • Manage and oversee all aspects of office operations including facilities, supplies, vendor relationships, records, and equipment
  • Supervise administrative support staff, manage workloads, review performance, and handle employee relations issues in partnership with HR and leadership
  • Coordinate onboarding of new hires, training schedules, and office assignments
  • Track PTO and leave requests and maintain up-to-date personnel rosters
  • Maintain file systems, both physical and electronic, including coordination with off-site storage providers and destruction of closed files
  • Oversee messenger services, office deliveries, and distribution of mail and packages
  • Coordinate conference room use, meeting setups, office moves, and general space planning
  • Serve as point person for IT, telecom, and security systems in coordination with central support teams
  • Manage day-to-day budget adherence for office-related purchases and services
  • Maintain general upkeep of shared spaces including break rooms, reception areas, and meeting rooms
  • Liaise with firm departments including accounting, HR, facilities, marketing, and IT to ensure smooth operations and communications
  • Handle occasional administrative or executive assistant duties as needed, depending on office size

Legal Office Manager Qualifications:
  • Bachelor’s degree or equivalent experience required
  • 5+ years of experience managing operations in a law firm required
  • Strong leadership, organizational, and problem-solving skills
  • Ability to multitask and adapt to shifting priorities in a fast-paced environment
  • Professional and confident communication style with attorneys, staff, and vendors
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams) and standard office systems
  • Willingness to be on-site at least 3+ days per week; some weeks may require full in-office presence

Additional Details:
  • Full-time, salaried role with benefits
  • Office hours are Monday through Friday
  • Occasional overtime may be required for special projects or staffing needs
