Position Overview
We are seeking a Litigation Legal Assistant. This role provides comprehensive secretarial and administrative support to three or more attorneys and paralegals within our litigation practice group. The successful candidate will be a proactive team player with exceptional organizational skills and a commitment to delivering outstanding client service. This position requires regular onsite attendance and close collaboration with peers, attorneys, and firm management.

Essential Job Functions and Responsibilities
  • Draft basic pleadings, including notices of appearance, pro hac vice admissions, summons, complaints, and motions.
  • Arrange for court reporters and videographers as needed.
  • Assist in preparing and organizing pleading binders, exhibit binders, and trial notebooks.
  • Draft and edit correspondence, memoranda, and other legal documents for attorney/paralegal review.
  • Manage incoming and outgoing mail, ensuring timely delivery and proper routing.
  • Maintain attorney calendars, contact lists, and deadline reminder systems.
  • Open new matters through Business Intake and initiate conflict checks; maintain and close case files upon completion.
  • Greet clients and visitors, ensuring professional and courteous communication at all times.
  • Schedule appointments and make travel arrangements for assigned attorneys and paralegals.
  • Enter attorney time entries into the timekeeping system.
  • Collaborate with the Billing Department and attorneys to review and finalize client invoices.
  • Work closely with internal departments including Word Processing, Business Intake, Accounting, and Office Services.
  • Perform additional administrative duties as assigned.
Additional Responsibilities
  • Maintain proficiency in litigation software, terminology, and document management systems.
  • Conduct online research relevant to cases and client matters.
  • Handle docketing and calendaring tasks in compliance with California court rules.
  • Demonstrate working knowledge of court systems, filing procedures, and litigation protocols.

Required Qualifications
  • High school diploma or equivalent.
  • Up to s of administrative or legal secretarial experience; litigation experience preferred.
Preferred Qualifications
  • Some college coursework.
  • Active Notary Public certification.
Knowledge, Skills, and Abilities
  • Excellent proofreading, grammar, spelling, and punctuation skills.
  • Experience with trial preparation and filing of trial-related pleadings (e.g., Motions in Limine, Exhibit Lists, Witness Lists).
  • Proficiency in state and federal e-filing systems (Janney & Janney, OneLegal, File & ServXpress).
  • Ability to create TOC/TOA using Microsoft Word or Litera.
  • Strong attention to detail with the ability to verify calculations and review documents for accuracy.
  • Ability to work independently while adhering to law office policies and procedures.
  • Excellent organizational and time management skills; able to handle multiple priorities under tight deadlines.
  • Exceptional interpersonal skills to communicate effectively with clients, attorneys, and staff.
  • Proficiency in Microsoft Windows 7 and Office 2010 Suite; minimum typing speed of 75 wpm.
  • Flexibility to adjust work hours as needed.
