The Litigation Legal Assistant will be responsible for providing administrative and legal support to attorneys and staff while serving as the first point of contact for clients and visitors. The ideal candidate will be highly organized, client-focused, and capable of managing multiple priorities with professionalism and discretion.
Litigation Legal Assistant Responsibilities:
- Provide confidential administrative support to attorneys and legal staff.
- Prepare, draft, edit, proofread, and format pleadings, motions, briefs, correspondence, discovery, contracts and other legal documents.
- Perform electronic filing and service in California State Courts, Federal Courts, and Appellate Courts as required.
- Maintain knowledge of court rules, filing procedures, and e-filing requirements.
- Assist attorneys with all phases of litigation, including discovery, motion practice, hearings, mediations, arbitrations, and trial preparation.
- Prepare and organize exhibits, trial binders, deposition materials, and hearing notebooks.
- Coordinate depositions, court reporters, videographers, interpreters, expert witnesses, and litigation vendors.
- Coordinate with the docketing department and independently monitor litigation deadlines, court dates, discovery deadlines, and filing requirements.
- Review court notices and filings to ensure deadlines are accurately calendared.
- Maintain attorneys’ calendars, travel arrangements, contacts, expense reimbursements, and time entry in 3E.
- Maintain electronic and physical client files and assist with matter opening and closing procedures.
- Prepare Tables of Contents as needed.
- Provide overflow secretarial support and collaborate with billing, records, docketing, and administrative teams.
Litigation Legal Assistant Requirements:
- 5+ years of commercial/business litigation experience supporting multiple attorneys.
- Advanced knowledge of California State and Federal Court rules, filing procedures, and deadlines.
- Experience coordinating depositions, hearings, mediations, and trial preparation.
- Working knowledge of e-discovery procedures and litigation lifecycle.
- Advanced proficiency in Microsoft Office Suite, PDF software, document management systems, and firm software including 3E.
- Exceptional proofreading, grammar, document formatting, and attention-to-detail skills.
- Ability to manage competing priorities and deadlines in a fast-paced environment.
- Strong client service, communication, interpersonal, and organizational skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Typing proficiency of 60+ WPM.
