Staffing Coordinator

The Staffing Coordinator is responsible for coordinating staffing operations across inpatient hospital units to ensure safe and efficient patient care. This role manages real-time staffing needs, responds to call-offs, coordinates shift coverage, and works closely with nursing leadership to support daily hospital operations in a fast-paced, high-volume environment.

Staffing Coordinator Responsibilities:

  • Coordinate nursing and ancillary staff assignments across inpatient units
  • Manage real-time staffing adjustments, call-offs, and shift coverage
  • Answer incoming staffing requests and operational calls in a high-volume call center environment
  • Allocate staffing resources based on patient census and operational needs
  • Collaborate with Hospital Supervisors, Charge Nurses, and department leadership
  • Develop staffing plans for upcoming shifts
  • Participate in staffing huddles and operational planning meetings
  • Utilize workforce management systems to schedule and adjust staffing assignments
  • Support patient throughput and operational efficiency through effective staffing decisions
  • Maintain accurate staffing records and professional communication across multiple departments

Staffing Coordinator Qualifications:

  • High School Diploma or GED required (Associate's or Bachelor's Degree preferred)
  • Minimum 2 years of hospital staffing coordination experience (3–5 years preferred)
  • Experience working in a Hospital Staffing Office, Centralized Staffing Office, Resource Management Center (RMC), Float Pool, Bed Management, or similar inpatient hospital environment
  • Experience managing staffing shortages, call-offs, workforce allocation, and real-time staffing decisions
  • Familiarity with staffing ratios, patient census, and acuity-based staffing
  • Experience with workforce management systems such as Smart Square, Kronos, UKG, or similar platforms
  • Epic experience preferred
  • Strong Microsoft Office skills
  • Excellent communication, customer service, and phone etiquette
  • Ability to prioritize multiple tasks in a fast-paced, high-volume environment
  • Strong organizational, problem-solving, and critical thinking skills
  • Ability to work weekends and holidays as needed
  • Must be able to work independently with minimal training and no competing employment or PRN commitments
