AR Specialist Overview
The Accounts Receivable Specialist is responsible for supporting daily accounts receivable activities, including processing and applying payments, maintaining accurate financial records, researching account discrepancies, and assisting with trust and unapplied cash transactions. This position works closely with clients, billing, and internal finance teams to ensure payments are properly recorded and accounts remain accurate and up to date.
AR Specialist Responsibilities
- Process and accurately apply daily incoming payments, including checks, wire transfers, ACH payments, credit cards, and lockbox receipts.
- Research payment discrepancies and communicate with clients regarding short payments, overpayments, and unidentified receipts.
- Prepare daily bank deposits and ensure cash receipts are recorded accurately and promptly.
- Process and post Trust account transactions in accordance with established firm policies and procedures.
- Partner with the Billing team on unapplied cash, trust fund transfers, payment reversals, and related account adjustments.
- Review unapplied cash and Trust accounts to identify payments that may be appropriately applied to outstanding balances.
- Prepare and distribute daily cash collection reports to management detailing fees and payments collected.
- Maintain accurate financial documentation while following company policies regarding confidentiality and financial controls.
AR SpecialistRequirements
- Associate degree in Accounting, Finance, Business, or a related field preferred, with a strong understanding of fundamental accounting principles.
- Minimum of 2 years of relevant experience, preferably within a professional services or law firm environment.
- Strong analytical, problem-solving, decision-making, and customer service skills, with the ability to research issues and respond effectively to client needs.
- Excellent organizational and time management skills, with the ability to prioritize tasks, meet deadlines, and work with a sense of urgency in a fast-paced environment.
- High level of accuracy and attention to detail when handling financial information, data entry, and confidential records.
- Effective written and verbal communication skills.
- Proficiency in Microsoft Office, particularly Excel, including entering, organizing, and manipulating spreadsheets.
- Aderant experience is a plus.
- Reliable and consistent attendance in an in-office work environment.
- Ability to work effectively in a fast-paced office/cubicle setting.
- Ability to spend extended periods of time working at a computer while reviewing and entering financial information.
- Ability to occasionally lift or carry items weighing approximately 10–15 pounds.
- Comfortable working in a standard office environment with minimal exposure to excessive noise, dust, or extreme temperatures.
