The Knowledge Management Analyst plays a key role in strengthening how the organization captures, organizes, governs, and shares business-critical information. This position supports the day-to-day administration and continuous improvement of knowledge management systems, document repositories, and collaboration platforms to ensure content is accurate, accessible, searchable, and aligned with organizational standards. Working closely with cross-functional stakeholders and subject matter experts, the Knowledge Management Analyst improves content quality, enhances user experience, supports adoption of knowledge-sharing practices, and helps drive efficient access to trusted information across the organization.

Knowledge Management Analyst Responsibilities:
  • Administer, organize, and maintain knowledge repositories, document libraries, and collaboration platforms to ensure information is current, findable, and easy to use.
  • Support document management processes, including version control, metadata application, retention, archiving, and controlled document workflows.
  • Apply and maintain metadata standards, taxonomies, naming conventions, and information governance practices that improve consistency and searchability.
  • Conduct content reviews, quality checks, audits, and lifecycle management activities to improve accuracy, relevance, and compliance.
  • Develop, update, and maintain SOPs, job aids, training materials, FAQs, process documentation, and other user-facing resources.
  • Analyze knowledge management processes and user feedback to identify opportunities to improve efficiency, usability, and adoption.
  • Support knowledge migration, repository cleanup, content rationalization, and platform optimization initiatives.
  • Provide guidance and support to business users on knowledge management tools, standards, workflows, and best practices.
  • Generate reports and metrics on content usage, search effectiveness, data quality, governance compliance, and platform adoption.
  • Partner with subject matter experts to capture, structure, validate, and distribute institutional knowledge.
  • Contribute to workflow automation, process improvement, and standardization initiatives that enhance information management practices.
  • Support training sessions, onboarding activities, communications, and change management efforts related to knowledge management systems and processes.

Knowledge Management Analyst Requirements:
  • Bachelor’s degree in Information Management, Library and Information Science, Business Administration, Information Systems, Communications, or a related field.
  • Experience supporting enterprise knowledge management, document control, information governance, or digital workplace initiatives.
  • Familiarity with reporting, analytics, or dashboard tools such as Power BI.
  • Experience with workflow automation, process improvement, change management, or continuous improvement methodologies.
  • Experience working in a regulated, compliance-driven, or global business environment.
  • Strong organizational, analytical, and problem-solving skills with the ability to manage detailed information accurately.
  • Working knowledge of knowledge management, document management, content governance, and information lifecycle principles.
  • Experience using SharePoint, Microsoft Teams, content management systems, document repositories, or similar collaboration platforms.
  • Understanding of metadata, taxonomy, naming conventions, search optimization, records retention, and content quality standards.
  • Ability to create, maintain, and improve business documentation, including SOPs, job aids, process maps, FAQs, and training resources.
  • Proficiency with Microsoft Office applications, especially Excel, PowerPoint, Word, and Outlook.
  • Strong written and verbal communication skills, with the ability to translate complex information into clear, user-friendly guidance.
  • High attention to detail and ability to prioritize multiple tasks, deadlines, and stakeholder needs.
  • Ability to collaborate effectively with cross-functional teams, subject matter experts, and business users.
