Healthcare Scheduler

Healthcare Scheduler Responsibilities:
• Schedule diagnostic imaging, radiology, interventional radiology, cath lab, and related procedures according to established department protocols
• Coordinate appointments requiring multiple steps, resources, providers, or clinical considerations
• Schedule procedures such as biopsies, port placements, and other diagnostic or interventional services as applicable
• Communicate directly with patients to coordinate appointments, explain scheduling information, and provide appropriate appointment instructions
• Provide compassionate, professional customer service while assisting patients throughout the scheduling process
• Review scheduling information for completeness and accuracy prior to finalizing appointments
• Confirm that required information is available to support appropriate scheduling of procedures
• Communicate with physician offices, clinical staff, and other departments when additional information or clarification is required
• Escalate scheduling concerns or clinical questions to the appropriate team when needed
• Accurately document appointment information and patient communications within scheduling and electronic medical record systems
• Navigate multiple systems and scheduling workflows while maintaining accuracy and productivity
• Support incoming and outgoing scheduling calls within a call-center-based environment
• Assist with rescheduling, cancellations, and other appointment changes while minimizing disruption to patients and clinical operations
• Maintain patient confidentiality and comply with HIPAA and organizational policies
• Participate in training, weekly huddles, team meetings, and department communications
• Collaborate with team members to support department scheduling volumes and patient access needs
• Perform other scheduling-related duties as assigned based on department needs
Healthcare Scheduler Qualifications:
• Minimum of 2 years of healthcare scheduling experience with direct exposure to radiology, diagnostic imaging, interventional radiology, cath lab, or similar procedural scheduling
• High School Diploma or equivalent
• Experience communicating directly with patients regarding appointment scheduling and preparation
• Experience working within a healthcare, hospital, physician practice, imaging center, or comparable clinical environment
• Strong knowledge of medical terminology
• Experience using healthcare scheduling and electronic medical record systems
• Ability to navigate multiple systems while communicating with patients and clinical teams
• Cerner experience preferred
• Strong computer and data-entry skills
