Title: Patient Access Coordinator (Referral Coordination Specialist)
Location: Remote – 100% remote; nationwide sourcing permitted. Candidates must be able to consistently work Eastern Time hours.
Equipment: Candidates must provide their own equipment for the duration of the contract assignment. If hired as a full-time employee (FTE), the client will provide equipment.
Schedule: Full-Time | Monday–Friday | 8:00 AM–4:30 PM ET
Contract: 90–180 days; potential to reassess based on business needs.
POSITION SUMMARY
The Referral Coordination Specialist is a critical member of the revenue cycle and patient access workflow, responsible for helping patients move from referral receipt through treatment readiness.
The role combines administrative referral coordination with technically detailed infusion order work. Successful candidates must bring prior Pharmacy Technician and/or infusion pharmacy experience so they can accurately read infusion orders, understand medication and dosing terminology, recognize required clinical documentation, and compare records against payer requirements.
The position works collaboratively with referral sources, Sales, Intake, Nursing/Clinical Operations, payers, and patients to resolve documentation and authorization barriers while escalating any matter that requires clinical judgment.
KEY RESPONSIBILITIES
• Review incoming faxes and new infusion orders; identify document type, create/route the appropriate workflow, and ensure orders are worked accurately and promptly.
• Create new patient profiles and maintain accurate demographic, insurance, medication, order, and referral information in the operating system.
• Read and enter infusion medication orders, including loading and maintenance doses, for nurse/clinical review; verify that required order elements are present and escalate unclear, conflicting, or clinically sensitive information.
• Review referrals, medical records, office notes, and supporting clinical documentation for completeness before intake and prior authorization processing.
• Review commercial payer medical policies, billing guidelines, step-therapy requirements, non-preferred drug requirements, site-of-care criteria, and other authorization requirements to identify missing documentation.
• Review relevant lab results against established payer or therapy criteria and flag/escalate findings that require clinical interpretation or review. This role does not make independent clinical decisions.
• Contact referring providers, sales partners, patients, payers, and internal teams to obtain missing orders, office notes, labs, signatures, or other required documentation.
• Monitor in-process referrals and follow outstanding items through completion to prevent avoidable delays in treatment.
• Conduct benefits verification and support or obtain prior authorizations for new and existing infusion patients, including payer follow-up and accurate authorization documentation.
• Coordinate renewal and change orders for active patients and ensure updated documentation is received before expiration or treatment.
• Communicate benefit coverage, authorization status, and applicable copay/financial assistance information to patients as appropriate.
• Document all referral, order, benefits, authorization, and follow-up activity accurately and consistently in the operating system.
• Partner closely with Intake, Sales, Nursing/Clinical Operations, and other internal teams while maintaining clear boundaries for issues requiring clinical review.
• Maintain a distraction-free work environment, participate actively in live training, and consistently apply established workflows and quality expectations.
• Perform other related administrative referral/order coordination duties as assigned.
REQUIRED QUALIFICATIONS
EDUCATION
• Associate degree or higher required.
• Healthcare, pharmacy, medical assisting, nursing, allied health, health sciences, healthcare administration, or a related discipline preferred.
EXPERIENCE
• Prior Pharmacy Technician and/or infusion pharmacy experience required.
• Direct infusion referral/order coordination experience required.
• Prior authorization experience required.
• Payer-policy experience required.
• Five or more years of relevant infusion experience strongly preferred.
CERTIFICATIONS
• Active Pharmacy Technician certification and/or registration preferred but not required.
TECHNICAL SKILLS
• Direct experience reading and entering infusion medication orders.
• Understanding of loading and maintenance dosing.
• Experience creating and maintaining patient profiles.
• Experience managing incoming faxes and new orders.
• Experience reviewing medical records for completeness and required documentation.
• Experience reviewing payer policies and prior authorization requirements.
• Experience reviewing applicable lab criteria.
• Ability to document accurately in electronic systems.
• WeInfuse and/or InfuseFlow experience preferred.
OTHER REQUIREMENTS
• Strong attention to detail.
• Consistent adherence to established workflows.
• Ability to recognize missing or conflicting information.
• Sound judgment to identify and escalate items requiring clinical review.
• Ability to work independently in a remote, high-volume environment.
• Ability to remain fully engaged during training and implementation activities.
• Must consistently work the required 8:00 AM–4:30 PM ET schedule.
• Must provide own equipment for the duration of the contract assignment. Client-provided equipment will be available if hired FTE.
