The Staffing Coordinator supports staffing operations within a busy inpatient hospital environment. This position is responsible for coordinating and allocating nursing and ancillary staff based on patient census, acuity, staffing needs, call-outs, and operational priorities. The ideal candidate will have true hospital staffing, centralized staffing, or resource management experience and be comfortable making real-time staffing decisions in a high-volume, call center-based environment. This is a fast-paced role requiring excellent communication, strong critical thinking, and the ability to manage multiple competing priorities with minimal supervision.

Staffing Coordinator Key Responsibilities
- Coordinate and allocate nursing and ancillary staff across inpatient hospital units.
- Answer incoming staffing requests and operational calls in a high-volume call center environment.
- Manage Real-time staffing adjustments, call-outs, shift coverage, and staffing shortages.
- Evaluate Staffing needs based on patient census, acuity, staffing ratios, and operational requirements.
- Develop staffing plans for upcoming shifts and allocate available resources according to patient care priorities.
- Collaborate closely with Hospital Supervisors, Charge Nurses, nursing leadership, and department managers.
- Respond to admissions, discharges, staffing changes, and patient safety needs.
- Participate in staffing huddles and operational planning meetings.
- Utilize workforce scheduling systems to manage staffing assignments and employee availability.
- Support patient throughput and overall hospital efficiency through effective staffing decisions.
- Maintain professional communication with clinical staff and multiple hospital departments while balancing competing priorities.
Staffing Coordinator Requirements
- High School Diploma/GED required; Associate’s or Bachelor’s Degree preferred.
- 2+ years of healthcare staffing coordination experience required; 3–5+ years preferred.
- Must have experience in an inpatient hospital staffing environment, such as a centralized staffing office, resource management center, float pool, bed management, or house supervisor support.
- Experience handling call-outs, shift coverage, staffing shortages, workforce allocation, and real-time staffing decisions.
- Knowledge of patient census, staffing ratios, and acuity-based staffing.
- Experience with workforce scheduling systems; Smart Square, Kronos, or UKG preferred. Epic and Microsoft Office experience a plus.
- Strong communication, customer service, organizational, problem-solving, and critical-thinking skills.
- Comfortable working in a high-volume, call center-based, metrics-driven environment.
- Ability to manage multiple priorities, learn quickly, and work independently with minimal training.
- Must be available for weekends and holidays as needed and have no competing employment, PRN commitments, or scheduling restrictions.
